Finance Executive (maternity cover)

£18k - £22k + Pension + 25 days holiday plus 8 bank holidays (pro rata)

Run 4 Wales, the events team behind some of Wales’ biggest mass participation events – including the Cardiff Half Marathon - are looking for a proactive and people orientated Finance Executive to join the team based at our head office in Cardiff for a fixed term (maternity cover)

Overall purpose of the role

Provide day to day financial and administrative support to staff and senior managers including the Financial Controller and Chief Executive.

To follow the financial regulations, organisational policies and procedures to ensure all transactions are compliant, accurate and completed in a timely manner.

Key Accountabilities

FINANCE

  • Prepare, reconcile and post purchase, sales invoices and credit notes into the finance software
  • Process payments due, enter payments online at the bank ready for independent authorisation
  • Process income including from internet banking, cheques and card payments by telephone
  • Credit control – including contacting customers to ensure all invoices are paid to term
  • Preparation of financial reports from the accounting software (Intuit QuickBooks Online)
  • Extract reports from other systems (Active Network) for revenue purposes
  • Reconciliation and posting of business charge card transactions, event income and petty cash
  • Maintain paper and electronic financial filing systems for all accounting records
  • Assist the Financial Controller with period end procedures and preparation of VAT returns
  • Liaise with customers to resolve telephone and email queries in a customer focused manner.

PAYROLL

  • To compile the monthly payroll requirements for all salaried, casual and seasonal staff
  • Operate the integrated payroll software to calculate and issue payslips and payments due
  • Support the HR Manager to implement changes to and report on payroll records

Ensuring that all transactions and records are complaint with the financial policies and procedures and to undertake other tasks as required by the Finance Controller to support business operations.

ESSENTIAL

  • Proficient working with Microsoft Office and in particularly EXCEL to sort, filter and print data
  • Be able to work steadily through busy times and prioritise the important and urgent tasks
  • Ability to use your initiative and work independently without day to day supervision.
  • Strong written and verbal communication skills to summarise and share information internally.

DESIRABLE

  • Previous experience of a current finance software packages is essential (we’re using QuickBooks)
  • A related professional qualification such as AAT or equivalent, already qualified or working towards.
  • Ability to speak and write in Welsh would help us deliver on our commitment to bilingualism
